Who We Are

Founded in 1999, Maryland Coalition of Families (MCF) is a statewide nonprofit with a central office in Columbia, Md., and staff located in communities throughout the state.  Using personal experience as parents, caregivers, youth and other loved ones, we connect, support and empower Maryland’s families. Our staff provide one-to-one support to parents and caregivers of young people with mental health issues and to any loved one who cares for someone with a substance use or gambling issue. We also advocate to improve systems that impact individuals with behavioral health challenges. 

Overview

Maryland Coalition of Families has a full-time (40 hour/week) opportunity for an IT and Administrative Manager.  This role is responsible for managing the administrative functions of MCF’s offices throughout the state, as well as the organization’s IT infrastructure and support services. This role will optimize office operations and processes and act as the link between various departments, employees and vendors. They will ensure the organization’s IT systems are compliant, secure, efficient and user-friendly, and will manage the relationship with external IT vendors and solutions providers. The position reports to the Director of Finance and Administration and is located at MCF’s Central Office in Columbia, MD.

Essential Duties and Responsibilities

   IT Management

  • Serves as the primary point of contact for all employees regarding IT and related services, equipment and needs, with support of vendor.
  • Works with the Director of Finance and Administration and others to develop information technology strategies by evaluating organizational needs, identifying challenges, evaluating trends, and anticipating requirements.
  • Develops, proposes, implements and maintains effective policies and procedures for use in IT work and security.
  • Ensures access, security controls and usage of applications and services are in accordance with MCF policies, applicable laws and best practices.
  • Works with the Director of Finance and Administration and/or others to negotiate acquisitions and vendor service agreements.
  • Oversees equipment purchasing and maintenance, including developing plans for ongoing assessment, and a process for hardware/software upgrades and/or replacements.
  • Maintains effective working relationships and acts as the primary point of contact for vendors and solution providers (ex: including web conferencing and document storage).
  • Provide day-to-day management and troubleshooting of information technology systems, computer systems and communication, and teleconferencing equipment.
  • Provides IT and software training to staff.
  • Provides oversight to company's mobile device and cellular phone plan.
  • Ensures security of data and network access for all IT systems employed by MCF and that adequate backup procedures are in place.
  • Manages website host services and security certifications.

   Office Administration

  • Oversees the purchasing, leasing, invoices, contracts and repairs for office equipment, including printer, phones and phone systems.
  • Coordinates the vetting, leasing, and furnishing of new offices and the move from/closing of existing offices.
  • Manages the relationship with property managers for all MCF office locations.
  • Oversees the purchasing, inventory management of all MCF office supplies and equipment; monitor related budget lines.
  • Partners with HR to ensure new employees have all necessary equipment and supplies.
  • Reviews vendor invoices for accuracy and approves invoices for payment.


Accounting and Human Resources

  • Serves as the backup for payroll processing.
  • Manages all payroll changes in the accounting system and budgets.
  • Supports the Director of Finance and Administration and HR Manager in payroll systems implementation including HRIS.
  • Supports the AP and AR functions in the accounting department.

 

Qualifications

  • Masters degree or equivalent/relevant work experience required.
  • Minimum of two years of work experience with IT related responsibilities.
  • Project management skills.
  • Advanced skills in Microsoft Office Suite and general IT troubleshooting.
  • Strong organizational and interpersonal skills with a customer service orientation.
  • Ability to work independently, anticipate issues and prioritize assignments.
  • Experience managing vendor contracts and services preferred.
  • Current Maryland driver’s license and access to own vehicle; limited in-state travel required to oversee regional offices and for various meetings/events across the state.
  • Successful completion of a background check (required for all MCF employees).

Hours/Compensation

40 hours per week
